Girdwood Forest Fair - Booth Information

The Booths

Minimum fees are established for 10 x10 booth spaces

Main Loop Craft Space - $250.00
Secondary Loop Craft Space - $200.00
Food Space - $350.00
Clean-up Deposit - $25.00
Teen Craft Booth (13-18) - $50.00
Senior Craft Booth (65+) - $50.00
Child Craft Booth - FREE

For the limited booths larger than 10 x 10, you will be charged the percentage over 100 sq ft. (Ex. 100 sq ft = 100% fee, 150 sq ft = 150%)

Please submit SEPARATE CHECK for the clean up deposit and a self addressed stamped envelope. We will be evaluating clean-up on Monday July 6 at 5:00pm to determine if the clean up deposit should be refunded. 

NOTE: You will NOT receive the clean up deposit back if you do not provide a self addressed stamped envelope!!! If you do not provide an envelope, we will tear up the deposit checks after evaluating your clean up and all fees are up to date.

NEW: Municipality of Anchorage are assessing a Vendor Flat Fee for usage of the park beginning 2008.  Details are forthcoming.

All booths need to be set-up by 10pm Thursday, July 2.

We do not allow cars, buses, vans, trailers or campers of any type to be used for booths. Make your booth fit within the woodsy environment. The booth operator is responsible for setting up and taking down the booth. Be prepared to work around tree roots -- NO nails in trees.

Craft Guidelines

All work must be hand-crafted by the artist! No manufactured or store bought items allowed. All applicants must submit a photo depicting samples of their artwork. The photo will be used to verify hand-crafted items for booth requests.

The application requires craft vendors to complete a full description of all types of crafts to be sold - including people sharing booth spaces.  For people sharing spaces, vendor name must be provided on application.

NO PRE-PRINTED T-SHIRTS ALLOWED! NO ADVERTISING ALLOWED

The Forest Fair committee reserves the right to ask applicants to leave if items for sale do not honor the request for HAND-CRAFTED items only. 

The Forest Fair Committee reserves the right to limit the number of vendors selling specialty items/services if there already are others selling the same or similar product.  

The Forest Fair Committee will not accept fortune telling such as palm reading or tarot card readings due to our rule on Religious Orders.

Food Guidelines

Food Booths are the #1 contributor of the garbage problem, please do your share in cleaning up. ALL garbage from food booths must be dumped in the dumpsters provided (NOT in the little garbage cans!) Please BREAKDOWN all cardboard and place IN the recycling dumpster - NOT NEXT TO IT for us to clean up.

All food vendors must send the application, checks or money orders, and COMPLETE menu for space reservation. Variety and promptness could assure your spot. There are limited booth spaces for food vendors. No "Carnival Food" and commercially manufactured food will be limited such as sodas and chips.

A health permit must be obtained through the Muni in order to serve food.

Novel, unusual, homemade and exotic foods are in keeping with the theme of the Forest Fair.

Space Assignment

All booths are granted on a "First Come – First Serve" basis based on date of postmark on completed application. All requirements must be met and approved by Forest Fair Committee.

Special requests for spaces are also granted on this basis. If you would like the same space as the previous year, you must return your application by the early vendor deadline – May 1 – or you may be issued a different space.

Returning Vendors - Vendors from previous years event requesting their same space will be assigned first.

Returning Vendors requesting different space - Vendors from previous years event requesting a change in location, will be granted after returning vendors are assigned.

New Vendors - New vendors will be assigned booth space based on availability.

Dates and Deadlines

·         May 2 - Early Application Deadline

·         June 1 - Begin mailing Booth Confirmations and Final Instructions to Vendors - If you are coming from out of state, advise us of latest mailing date.

·         June 20 - Vendor Application Deadline
NO applications will be processed after this date!

·         Thursday, July 2 - Booth Set-Up day from Noon to 10:00 pm

·         Friday, July 3 -Fair is open from 11am to 8:00 pm

·         Saturday, July 4 - Parade at 11:00 am - Alyeska Highway will be closed by 10:30am - all vendors must be in place by this time!
Fair is open from 11:00am to 8:00 pm

·         Sunday, July 5 - Fair is open from 11:00 to 6:00 pm
All vendors are expected to stay open for business until 6:00 pm!

·         Monday July 6 - EVERYTHING MUST GO! By 5:00pm, everything must be cleaned up (including cigarette butts in your area) or clean-up deposits will not be returned.

Vendor Camping & Parking

Camping areas are few and allowed only by Vendors. Cook stoves only! Absolutely NO fires! Port-a-cans and tap water will be available. Be prepared for rain and noise throughout the night. Parking spaces will be reserved for Booth Operators ONLY!

NOTE****
Due to the lack of available parking space, Vendors will be limited to 1 parking permit only!
You must either bring one vehicle (recommended) or shuttle your second vehicle to the Daylodge parking lot or a different parking location. The Vendor Parking Permit will be sent with confirmation of registration.

Kids Booths

Child vendors under the age of 12 receive a free booth space. Teenage vendors between the ages of 13 – 18 can apply for a limited # of discounted booth spaces for $50.

They must fill out the same application and pay the $25 refundable clean-up fee. The child must work the booth and make the items to be sold. Help from the parents is allowed, but the idea is for the child to be responsible.

Notices

No electrical outlets are available and NO GENERATORS ALLOWED!!! Bring a cart to haul your materials up to ¼ mile into the fair grounds. Come prepared for rain and cover your booth.

Wandering vendors are not permitted!!! This includes musicians - please contact the music coordinator if you want to play at the fair.

Remember, this is a Forest Fair, onsite booth building tends to work better. Don’t forget tree roots!
